This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application, website at traderheadspace.com, and related services (collectively, the “Services”).

By using our Services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Services.

01 Information We Collect

We collect the following categories of information when you use Trader Headspace:

a. Account & Authentication Data

• Email address
• Authentication tokens from Apple ID, Google, or Clerk sign-in
• Display name and account preferences

b. User-Generated Content

• Journal entries (text and voice recordings)
• Mood scores and emotional state tags
• Session notes, reflections, and trading intention entries
• Goal settings and progress records

c. Health & Biometric Data

• Heart rate data (via Apple HealthKit / Apple Watch integration)
• Heart rate variability (HRV)
• Mindfulness Minutes (as logged in Apple Health)
• General activity and session data from wearable integrations

This data is used solely to personalise your mindset insights and is never sold or shared with advertisers.

d. Audio & Transcription Data

• Voice journal recordings
• Transcripts generated from voice recordings
• Sentiment and emotion tags derived from transcription analysis

e. Device & Usage Data

• Device type and operating system version
• App usage statistics and session duration
• Crash logs and performance diagnostics

01b Cookies & Tracking Technologies

We use cookies and similar technologies on our website at traderheadspace.com. We do not use cookies within the mobile app itself.

Essential cookies

These are required for the site to function and cannot be switched off. They include cookies that remember your cookie consent preference. No personal data is transmitted to third parties as part of essential cookie use.

Non-essential cookies

With your consent, we may use non-essential cookies to analyse website traffic and improve your experience (for example, analytics tools that show us which pages are most visited). Third-party services

All fonts used on this site are system fonts (Georgia, -apple-system) served directly from your device. No requests are made to Google Fonts or any external font provider.

Your preference is stored locally in your browser and can be cleared at any time through your browser’s storage settings.

02 Legal Basis for Processing (GDPR)

For users in the European Economic Area (EEA) and United Kingdom, we process your personal data under the following legal bases:

• Explicit consent — for health and biometric data (GDPR Article 9(2)(a)). You grant this separately during onboarding and may withdraw it at any time without affecting your use of other features.
• Contract performance — for account authentication, session delivery, and core app functionality.
• Legitimate interests — for app performance analytics and crash reporting, where these interests are not overridden by your rights.
• Legal obligation — where processing is required by applicable law.

For all other users (including the United States), we process data based on your agreement to these Terms and our legitimate interests in providing and improving the Services.

03 How We Use Your Information

We use your data to:

• Provide, personalise, and improve the Services
• Generate mindset insights, mood trend analysis, and session recommendations
• Power breathing, meditation, and flow personalisation based on your mindset style
• Track session history and emotional patterns over time
• Send optional notifications and reminders (you can opt out at any time)
• Diagnose technical issues and maintain app performance

We do not use your data to train external AI models. We do not sell your personal data to any third party.

04 Sub-Processors & Data Sharing

We do not sell your personal data. We share data only with the following trusted service providers who process it on our behalf, subject to strict data processing agreements:

Each sub-processor is bound by data processing agreements that comply with GDPR requirements, including Standard Contractual Clauses (SCCs) for transfers of EEA/UK personal data to the United States.

We may also disclose data to legal authorities when required by applicable law, court order, or to protect the rights and safety of Trader Headspace or its users.

05 Data Storage & Security

• All data is encrypted in transit (TLS) and at rest (AES-256)
• Data is stored in Supabase (US-based cloud infrastructure)
• Voice recordings and journal entries are stored securely and not shared with third parties beyond those listed above
• Payment processing is handled exclusively by Apple App Store or Google Play — we never receive or store payment card details
• We implement access controls, audit logging, and regular security reviews

No method of transmission or storage is 100% secure. We encourage you to use a strong device passcode.

06 Data Retention

We retain your data for as long as your account is active. Specifically:

• Account data: retained until you delete your account.
• Journal, mood, and session data: retained until account deletion.
• Health and biometric data: retained until you withdraw consent or delete your account.
• Crash logs and diagnostics: retained for up to 90 days.

Upon account deletion, we will delete or anonymise your personal data within 30 days, except where retention is required by law.

07 Your Rights

All Users

• Access and review your personal data
• Request correction of inaccurate data
• Request deletion of your data (right to erasure)
• Export a copy of your data in a portable format

• Withdraw consent for health/biometric data processing at any time
• Object to processing based on legitimate interests
• Request restriction of processing while a dispute is resolved
• Lodge a complaint with your local supervisory authority (e.g., your national Data Protection Authority or the UK ICO at ico.org.uk)

California Users (CCPA)

• Know what personal data we collect and how it is used

08 Children’s Privacy

Trader Headspace is not intended for users under the age of 16. We do not knowingly collect personal data from anyone under 16. 09 International Data Transfers

Trader Headspace is operated by ChaosWing LLC, based in Virginia, USA. If you access our Services from the EEA, UK, or other regions with data protection laws, please be aware your data will be transferred to and processed in the United States.

For EEA and UK users, such transfers are governed by Standard Contractual Clauses (SCCs) incorporated into our agreements with sub-processors. By using our Services and consenting to this Privacy Policy, you acknowledge this transfer.

10 Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top and notify you via the app or email for material changes. Your continued use of the Services after any update constitutes acceptance of the revised policy.
